Executive Assistant to the CEO

At Caljan, we are looking for an Executive Assistant to the CEO who will become a trusted partner to our Chief Executive and play an important role in supporting both the day-to-day rhythm and the broader priorities of the CEO office.

About the role
As Executive Assistant to the CEO, you will work at the heart of the business. You will support the CEO across a wide range of activities, from planning, coordination, and communication to reporting, presentations, and executive follow-up.
This is much more than a traditional support role. We are looking for someone who can combine strong organisational skills with business understanding, analytical capability, and the confidence to work with senior stakeholders across functions and countries.
You will be a key part of making sure the CEO office runs smoothly and effectively, while also helping bring structure and momentum to strategic and executive-level priorities.
What you will be doing
In this role, you will:
* prepare presentations, board material, executive summaries, and briefing packs of a consistently high standard
* help turn complex business information and reporting into clear and useful decision support
* support the CEO in board-related, investor-related, and leadership-related activities
* coordinate input from senior leaders and ensure executive material is aligned, accurate, and well structured
* manage internal and external communication on behalf of the CEO with the right tone and professionalism
* act as a central coordination point across senior stakeholders, functions, and countries
* support leadership meetings, workshops, and off-sites with strong preparation and clear follow-up
* take ownership of calendar management, travel planning, meeting logistics, and related administration
* track actions, priorities, and key initiatives to ensure progress and follow-through
* proactively anticipate needs, solve problems, and remove practical barriers

We are looking for someone who is both highly professional and easy to work with. Someone who is proactive, structured, and comfortable operating in a demanding executive environment. You know when to take initiative, when to challenge constructively, and when discretion matters most.
You are likely someone who enjoys creating order, has a natural eye for detail, and can move confidently between practical coordination and more strategic support.
We imagine that you bring:
* solid experience as an Executive Assistant at senior executive level, ideally supporting a CEO or similar
* experience preparing board or executive-level presentations, reports, and communication material
* strong business understanding and confidence working with reporting, management information, and data
* advanced Excel skills and the ability to work with reporting packs, trends, and analysis
* experience with Power BI, Tableau, or similar tools is an advantage
* very strong written and verbal communication skills
* excellent PowerPoint and presentation skills
* a structured and proactive approach with strong follow-up discipline
* the ability to manage multiple priorities while keeping quality and professionalism high
* experience from an international or multi-country environment
